Workforce Hub ("we", "us") respects your privacy and is committed to handling personal information responsibly and in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This Privacy Policy explains how we collect, use, store and disclose personal information through workforcehub.com.au and through our recruitment, labour hire and business operations.
This policy should be read alongside our Candidate Collection Notice where relevant. It applies to all individuals whose personal information we handle, including job seekers, workers, employer contacts and website visitors.
1. What we collect
We collect personal information that is reasonably necessary for our functions and activities. The types of information we may collect include:
Job seekers and workers
- Name, phone number, email address and current location
- Work-rights status, visa type and visa expiry details
- Résumé, work history and references
- Licences, tickets, certificates and trade qualifications
- Availability, preferred industries and earliest start date
- Languages spoken
- Onboarding documents such as tax file number declarations, bank details, identification documents and employment information statements where you are engaged as an employee
- Any other information you provide in the course of registering or being placed
Employer and host business contacts
- Name, job title, company name and contact details
- Site location, labour requirements, roster details and start dates
- Site hazards, induction requirements, PPE arrangements and access rules
- Any other information provided in the course of an employer enquiry or placement
Website visitors
- Information submitted through website forms
- Standard website usage data collected through analytics tools, cookies or similar technologies (which may include IP address, browser type, pages visited and session duration)
We collect personal information directly from you where practicable. We may also collect information from third parties such as referees, licence or registration bodies, or work-rights checking services where permitted by law or with your consent.
2. Why we collect it
We collect and use personal information for the following purposes:
- To respond to enquiries from job seekers, workers and employers
- To assess worker suitability for roles and placements
- To verify work rights, licences, tickets and onboarding requirements
- To coordinate and manage placements, including pre-start requirements, site inductions and PPE arrangements
- To communicate with workers, employers and host businesses about placements, enquiries and related matters
- To manage payroll, superannuation, leave and other employee entitlements where Workforce Hub is the employer of record
- To manage compliance, record-keeping, WHS coordination, insurance and related business administration
- To improve our website, services and internal processes
- To comply with our legal obligations, including obligations under the Fair Work Act 2009, Privacy Act 1988, state and territory labour hire legislation, and other applicable laws
3. How we disclose personal information
We may disclose personal information to third parties where reasonably necessary for our operations, to comply with the law, or with your consent. Recipients may include:
- Host businesses — for the purpose of assessing suitability, coordinating placements, site inductions and onboarding
- Payroll and HR service providers — where Workforce Hub engages you as an employee
- IT and software providers — including cloud storage, form platforms, email and communication services used in our operations
- Professional advisers — such as accountants, lawyers and consultants
- Insurers — in connection with workers compensation, public liability and related insurance
- Licence and registration bodies — to verify qualifications or work rights
- Regulators and government agencies — where required by law, court order or regulatory obligation
We do not sell personal information to third parties. We do not use worker personal information for direct marketing unrelated to our services without consent.
4. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. Our security measures include:
- Password-protected systems and restricted access controls
- Use of reputable third-party platforms with their own security standards
- Limiting access to personal information to staff and contractors who need it to perform their role
- Retaining personal information only for as long as it is needed for the purpose it was collected, or as required by law
No data transmission over the internet is completely secure. While we take reasonable precautions, we cannot guarantee the absolute security of information transmitted to or from our website.
5. Overseas disclosure
Some of the third-party software and platforms we use may store or process data outside Australia. Where this occurs, we take reasonable steps to ensure those providers handle information in a manner consistent with the Australian Privacy Principles. We will update this policy where we become aware of material overseas disclosure practices.
6. Access and correction
You have the right to request access to the personal information we hold about you, and to ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
